PRIMARY PURPOSE: Maintain accurate and complete student records; maintain the confidentiality of information and records; serve as a backup for campuses with a vacancy or long-term absence for a Data Processing, Attendance, or Registrar Clerk position.

Minimum Experience:  

One (1) year of clerical/secretarial experience or equivalent experience or background.

 

MAJOR RESPONSIBILITIES AND JOB DUTIES:

 

  1. Serve as a backup clerk for campuses with a vacancy or long-term absence in a DP, Attendance, or Registrar Clerk position.
  2. Perform all clerical duties necessary to maintain accurate and complete student records, including, but not limited to, schedules, grades, attendance, permanent folders, and demographic information. 
  3. Assist parents/guardians in verifying documentation and completing enrollment forms; prepare initial cumulative record folder. 
  4. Transfer and request student cumulative records and transcripts as students enter/withdraw within and outside the district.   
  5. Maintain confidentiality of information and student records. 
  6. Assist in enrolling new students and pre-registration for continuing students.
  7. Evaluate records for incoming, transferring, or re-entering students from school districts other than Irving ISD. This includes translating grades and credits, which will require communication with the individual.
  8. Transfer new student records onto Academic Achievement Records (transcripts). 
  9. Input courses, grades, and credits into the Irving Student Information system for all new students.
  10. Ensure a high level of service to the public through a timely and accurate transfer of information required for college admission, military, and job interviews.
  11. Perform other duties as assigned by the supervisor.
