JOB DESCRIPTION

 

 

JOB TITLE: Executive Director of Athletics         

WAGE/HOUR STATUS: Exempt                          

REPORTS TO: Chief of Administrative Services             

PAY GRADE: Admin/Prof 9 (230 Days)

DEPARTMENT: Athletics                                                             

DATE REVISED: February 2024

 

This position is eligible for a Chapter 21 contract.

 

PRIMARY PURPOSE: Direct and manage the overall program of extracurricular athletics for the district.  Work to provide each student an opportunity to participate in an extracurricular athletics activity and ensure compliance with all state, University Interscholastic League (UIL), and local requirements.  To organize, administer, and evaluate a comprehensive district wide program of athletics with equal emphasis on the quality of instruction, equipment, facilities, and recognition for the programs and the student participants.

 

QUALIFICATIONS:

 

Minimum Education:   

  • Master’s Degree
  • Valid Texas Teaching Certificate
  • Valid Texas Administrator’s Certificate or National Interscholastic Athletic Administrators Association (NIAAA) Athletic Administrator Certificate 

Special Knowledge/Skills

  • Strong oral and written communication skills with emphasis on public relations and administrative leadership.
  • Ability to speak effectively before groups of students, parents, and staff
  • Knowledge of the overall operation of a comprehensive athletic program with the ability to organize and manage a 6A multi-high school district
  • Fiscal planning and management skills for preparing and executing budget and personnel matters relevant to the district’s athletic program
  • Knowledge of district, state, and UIL policies and state laws governing athletics
  • Computer skills in, but not limited to, Word, Excel, Power Point, athletic management software and the internet
  • Ability and willingness to learn and use district software programs related to personnel, payroll, transportation, budget, and facilities rental

Minimum Experience:

  • Five (5) years of experience as administrator or supervisor in an athletic assignment at a 4A level or above.
  • Head coaching experience at varsity level (preferred)

  

MAJOR RESPONSIBILITIES AND DUTIES:

 

Instructional Management

  • Direct school athletic services to meet student needs
  • Ensure that student progress is evaluated on a regular, systematic basis, and the findings are used to make the athletic program more effective
  • Plan the necessary time, resources, and materials to support accomplishment of educational goals
  • Ensure that student progress is evaluated on a regular, systematic basis, and the findings are used to make the athletic program more effective
  • Conduct annual training of all coaches regarding changes and updates to state law and UIL rules and policies.  Keep coaches updated on updates or interpretations of laws and UIL rules.
  • Monitor and determine compliance of coaches regarding state laws and UIL rules and training in areas such as CPR/First Aid, Concussion Training, NFHS training, Rules Compliance Program, etc.

 Athletic Events

  • Manage district athletic programs including directing ticket sales, employing game officials, and ensuring preparations of facilities.
  • Review all district athletic schedules.
  • Approve or arrange the transportation, lodging, and meals for out-of-town athletic events.
  • Oversee the process of cleaning, repairing, and storing of all district athletic equipment.
  • Coordinate with the facilities rental department the use of all secondary athletic facilities by non-school groups.
  • Initiate all athletic awards programs.

School/Organizational Improvement

  • Collaborate with central office and campus administrators in developing goals for the athletic and educational programs expressing a vision directed toward the improvement of these programs
  • Assess and respond to needs related to job responsibilities and the athletic program
  • Design feasible projects for implementing innovations designed to improve and enhance athletic program effectiveness
  • Ensure that program review and renewal is continuous and responsive to student needs 

Personnel Management

  • Work in collaboration with school principals to recommend applicants qualified in areas for specific teaching vacancies.
  • Evaluate job performance of coaches and athletic staff to ensure effectiveness
  • Develop training options and/or improvement plans to ensure the best operations in the area of athletics
  • Collaborate with principals to recommend coaching applicants to coincide with teaching vacancies
  • Prepare, review, and revise job descriptions in the athletic department 

Administration and Fiscal/Facilities Management

  • Direct and manage the district’s athletic program and facilities
  • Ensure that programs are cost effective and funds are managed prudently
  • Compile budgets and cost estimates based upon documented program needs
  • Prepare bid list for all athletic purchase and approve all requests for team expenses including travel
  • Compile, maintain, and file reports, records, and other documents required
  • Implement the policies established by federal law, State Board of Education rules, UIL rules, and the local board policy in the area of athletics 

Student Management

  • Demonstrate support for the district’s student management policies and expected student behavior related to the athletic program
  • Establish and maintain open lines of communication by conducting conferences with parents, students, administrators, and teachers concerning student management issues
  • Encourage coaches to utilize a character development program
  • Track the academic progress of athletes and ensure that coaches closely monitor their athletes in the classroom
  • Schedule and promote IISD summer athletic camps.  Print and distribute information and registration forms for these camps.  See that all registrations facilitated through the athletic office. 

Professional Growth and Development

  • Develop professional skills appropriate to job assignment through active participation in clinics, seminars, and related professional organizations
  • Demonstrate behavior that is professional, ethical, and responsible; and serve as a role model for all district athletic staff

School/Community Relations

  • Articulate the district’s goals in the area of athletics to the community and solicit its input in realizing those goals
  • Demonstrate awareness of district/community needs and initiate activities to meet those needs
  • Demonstrate the use of appropriate and effective techniques for community and parent involvement
  • Serve as a source of information and innovation to the community and district through active participation as a speaker and/or leader for athletic related activities and functions
